What we collect, why we collect it, and how we use it — in plain language, because most of the information families share with us is about their children.

Christian Character Academy is run by volunteers from local churches, and we treat the information families entrust to us the same way we treat their children — carefully. This policy covers the forms on this website, the chat widget, and the cookies and analytics tools we use.

Who we are

Christian Character Academy (“CCA,” “we,” “us,” or “our”) is a ministry of the New London Faith Group, located at 421 Park Ave., New London, OH 44851. This policy explains what information we collect through this website, how we use it, and the choices you have.

By using this website or submitting a form on it, you agree to the practices described here.

Information you give us

We only collect the information you choose to type into one of our forms. What we ask for depends on the form:

  • Student registration — student name, date of birth, school and grade, home address, parent or guardian names and contact information, emergency contact, allergies or medical notes you choose to share, church affiliation, and your permission and photo/video consent choices.
  • Volunteer application — your name, email, phone, church, roles you are interested in, availability, experience you choose to describe, and your consent to BCI and FBI fingerprint background checks.
  • Giving form — your name, email, optional phone and mailing address, and the gift amount and frequency you select. We do not collect card or bank numbers on this website.
  • Contact form and chat — your name, email, optional phone, the topic you select, and the message you send us.

Please expect to hear from us.

When you submit any form on this site, you are asking us to get in touch. We will use the email address, phone number, and mailing address you provide to respond to you and to follow up about the program.

That follow-up may include:

  • Emails, phone calls, or text messages confirming your registration, volunteer application, gift, or question.
  • Details you need in order to participate — class times and locations, permission paperwork, volunteer screening and orientation steps, and schedule changes.
  • Occasional ministry updates, prayer requests, event invitations, and giving appeals.

Message and data rates may apply to text messages, and message frequency varies. You can stop receiving messages at any time — see Your choices below. We will always keep sending the operational messages you need in order to participate safely, such as a change to a class time.

Cookies and tracking technologies

This website uses cookies and similar technologies — small files and scripts stored by your browser — to keep the site working, understand how visitors use it, and measure whether our outreach is reaching families. Some of these are set by third-party services on our behalf, and those services may collect your IP address, device and browser type, pages viewed, referring website, and general geographic area.

We use or expect to use the following:

  • Essential cookies — required for the site to load correctly and for forms to submit. These cannot be turned off.
  • Google Analytics — aggregate traffic and usage statistics, such as which pages families visit most and how they found us.
  • GoHighLevel — the platform that receives our form submissions, powers the chat widget, and manages our email and text follow-up. Its tracking may associate your visit with your contact record so we know which pages you asked about.
  • IntentWave — visitor and intent analytics that help us understand interest in the program and improve our outreach.

We do not use these tools to serve advertising to children, and we do not allow them to sell the information they collect on our behalf. Because these are third-party services, their own privacy policies also apply to the data they process.

How we use information

  • To enroll students, confirm parental permission, and arrange class schedules with participating schools.
  • To screen, train, schedule, and communicate with volunteers.
  • To acknowledge gifts, issue receipts, and keep required financial records.
  • To answer your questions and provide the information you asked for.
  • To care for students safely — for example, keeping emergency contacts and allergy notes available to the adults leading a class.
  • To understand how the website is used so we can improve it.
  • To meet legal, accounting, and child-safety obligations.

Children's information

Our forms are written for parents and guardians, not for children. We do not knowingly collect information directly from a child through this website — student information reaches us because a parent or guardian chose to provide it during registration.

Student information is shared only with the volunteers and staff who need it to serve that student, and with the student's school as needed to coordinate released-time attendance. We publish a student's photo, video, or first name only if a parent or guardian gave photo/video consent on the registration form, and that consent can be withdrawn at any time by emailing us.

If you believe a child has given us information without a parent's involvement, contact us at Info@ChristianCharacterAcademy.com and we will delete it.

How we share information

We do not sell or rent your information, and we do not share it with other ministries or organizations for their own marketing. We share it only in these situations:

  • With service providers who operate the site and our communications on our behalf — such as our website host, GoHighLevel, our analytics providers, and our payment processor — and only as needed to do that work.
  • With the volunteers and board members responsible for a class, a student, or a volunteer application.
  • With a student's school district, limited to what is needed to coordinate released-time attendance and confirm parental permission.
  • With the agencies and vendors that conduct our Ohio BCI and FBI fingerprint background checks, for staff and volunteer applicants who have consented.
  • When required by law, by court order, or when necessary to protect the safety of a child or another person.

Retention and security

We keep registration and volunteer records for as long as a student or volunteer participates, and afterward only as long as needed for child-safety, accounting, and legal purposes. Giving records are kept as long as required for financial reporting.

We use reasonable safeguards to protect the information we hold, including limiting access to the volunteers and board members who need it. No website or electronic storage is completely secure, however, so we cannot guarantee absolute security.

Your choices

  • Email — click the unsubscribe link in any ministry email, or email us and ask to be removed.
  • Text messages — reply STOP to any text message to opt out, or HELP for assistance.
  • Cookies — most browsers let you block or delete cookies in their settings. Blocking essential cookies may keep parts of the site from working.
  • Google Analytics — you can install the Google Analytics opt-out browser add-on to prevent your visits from being measured.
  • Photo and video consent — email us at any time to change or withdraw the consent you gave on the registration form.
  • Access and deletion — email us to review, correct, or delete the information we hold about you or your student, subject to records we are required to keep.

Changes to this policy

We may update this policy as the program grows or as the tools we use change. When we do, we will revise the “Last updated” date at the top of this page. Significant changes affecting registered families will also be communicated directly.
